An AI agent is useful when a task repeats, the rules are understandable and there is enough information to choose a next action. Not every workflow needs an agent. Sometimes a form, a direct integration or a simple automation is the better answer.

Strong use cases often appear in support, sales follow-up, admissions, education and internal operations. The agent receives information, interprets it and selects a bounded action: send a message, check a record, create a task or ask for missing details.

First, repetition: the task happens several times each week. Second, clarity: the team can explain what information it needs and what outcome it expects. Third, friction: someone currently copies data, chases responses or reviews cases that usually end the same way.
Keep a human control layer
A useful agent should not own every decision. It completes predictable work, records what it did and escalates sensitive or unusual cases. Defining those limits is usually more important than choosing the latest model.
The practical question is not “Can we use AI here?” It is “Which decision or action can we delegate safely, and how will we know it worked?”
